How it works

From a template to every email you send

Choose a design, make it yours, add some motion, and paste it into your email app. Publish a new version whenever something changes.

  1. Step 1: Start from an original template

    Pick one of 98 templates made for 19 kinds of business, from real estate, law and healthcare to trades, sales and creative studios. Every thumbnail is the real signature drawn with sample details, so what you pick is what you get. 23 templates are free; Pro and up unlock them all.

  2. Step 2: Design it while you watch

    Add your photo, logo, contact details, social icons, buttons, a QR code or a disclaimer, and arrange them in one of six layouts. Click any part of the preview to change its text, link, colors and size, with your brand kit’s colors one click away. Undo and redo as you go, check the mobile view, and your draft saves itself.

  3. Step 3: Bring your photo and logo to life

    Upload a short video or GIF of up to 15 seconds, pick the moment to loop (up to 6 seconds), crop it and choose a square, rounded or round shape. Choose Quality, Balanced or Small file, and it becomes a looping GIF sized for email. No video? Animate a still photo (ring, light sweep, glow, zoom, reveal, split slices or slides) or your logo (wipe on, assemble, shine, glow and more), and let your social icons pulse, bounce, shine, pop, spin or wiggle. Animations come with Pro and up.

  4. Step 4: Publish when it is ready

    Edits stay in your draft until you publish. Each publish is a numbered version with a note, and every image in it is hosted for you at its own address, so the emails you have already sent keep the version they went out with. Preview an earlier version, or restore it to your draft, whenever you like.

  5. Step 5: See what gets clicked

    Links, buttons and social icons can go through a tracked short link that counts the click and sends people straight on. Analytics show clicks by day, your top links, social icons and destinations. Image loads are counted too, labeled “Image loads (approximate)”: image proxies (Gmail, Apple Mail Privacy Protection), caching and blocked images mean image loads are neither opens nor people. So there is no open rate, no click-through rate and nothing about who read your email.

On the Team plan, one master signature is filled in for each person, up to 10 people (50 on Business), and campaign banners put your latest offer under every email.

Install it in the email app you already use

PlugMatrix Signatures works with any email address and needs no website. Copy your signature in one click and paste it into your email app, with short steps for each one.

Gmail and Google Workspace

  1. In PlugMatrix Signatures, open Install and click Copy signature.
  2. In Gmail, open Settings, See all settings, then Signature, and create a new one.
  3. Paste it, choose it for new emails and replies, and save the changes.

Outlook

  1. Click Copy signature on the Outlook tab: there are steps for Outlook on the web, the new Outlook and classic Outlook for Windows.
  2. Open the signature settings of your Outlook and add a new signature.
  3. Paste it, save, and set it as your default.

Apple Mail

  1. Click Copy signature on the Apple Mail tab, for the Mac or for iPhone and iPad.
  2. On a Mac, add a signature in Mail’s settings; on iPhone and iPad, use the Mail signature setting.
  3. Paste it, then send yourself an email to see it in place.

Any other email app

  1. Use Copy HTML for apps that take a signature’s HTML, such as Yahoo Mail, Thunderbird or your help desk.
  2. Or copy the signature and paste it where your app keeps signatures.
  3. Every tab has its own short steps and a note on what that app supports.

Good to know

Email apps differ. Animated images play in most of them, but classic Outlook for Windows may show only the first frame. Gmail takes signatures of up to 10,000 characters, and the designer warns you before yours gets there.

Does it work with my email address?

Yes, with any email address: Gmail and Google Workspace, Outlook and Microsoft 365, Apple Mail on Mac, iPhone and iPad, Yahoo Mail, and other apps where you can paste a signature. You don’t need a website, your own domain or an add-in. You design the signature in your PlugMatrix dashboard, copy it, and paste it into your email app.

Do animated signatures work in every email app?

Animated photos, logos and icons are GIF images, which play in most email apps. Classic Outlook for Windows may show only the first frame, so pick a starting moment that works as a still picture. Animations are kept to email-friendly sizes, and the dashboard warns you when one is over 500 KB.

What happens to my signature if I cancel?

Your published signatures keep working. For 180 days, their images keep showing the last version you published, and tracked links keep taking people where they should, for good: a link in an email you already sent never breaks. Editing, publishing and campaign banners stop, and clicks are no longer counted. After 180 days, the images are replaced by an invisible placeholder, never a broken or “expired” picture. Signatures on the Free plan keep working for as long as your account exists.

Can you see who opens my emails?

No. There is no tracking pixel, no cookie and nothing about the people you write to. PlugMatrix Signatures counts clicks on tracked links and how often your hosted images load. Image proxies (Gmail, Apple Mail Privacy Protection), caching and blocked images mean image loads are neither opens nor people. So image loads are labeled “Image loads (approximate)”, and you will never see an open rate. Email and phone links are never tracked.

Where are my photo and logo hosted?

With PlugMatrix. Every image in your signature, from your photo and logo to its icons and animations, is hosted for you, and each version has its own address, so an email you sent keeps the picture it was sent with. You don’t need a website or a file server.

Can I change my signature later?

Yes. Your edits are saved as a draft and go live when you publish. Each publish is a numbered version you can preview or restore later, and the Install page always gives you the latest one to copy into your email app.

What does the Free plan include?

One email signature with the 23 basic templates, your photo, logo and social icons (without animation), and a small “Made with PlugMatrix” line under it. Pro adds every template, animated photos, logos and icons, click analytics, and removes the line.

Can my whole team use the same design?

On the Team plan, one master design is filled in for up to 10 people from your team list, and campaign banners go under every signature. Business takes it to 50 people, with departments that have their own design and campaigns you schedule and target.

Which buttons can open my other PlugMatrix products?

Buttons can open your booking page or one of its services, your review page, or one of your published forms, picked from what you already have. A chat button links to the page of your website where your chat runs, and any button can link to a page of your choice: a menu, a price list or a video.
