How it works

From open hours to a booked, reminded customer

Set up once, share it everywhere, and let the server keep every time honest: no double bookings, no time zone surprises, no chasing customers.

  1. Step 1: Add your services, team and hours

    Give each service its length, price, buffers and options, choose who can do it and where, and set business, location and staff hours with breaks and time off. Rooms and equipment can be booked along with a service, so they are never double-booked either.

  2. Step 2: Take bookings on your website and beyond

    Publish your booking page with its own link and QR code, embed it in any page, or add a “Book now” button that opens it in a pop-up. Direct links can open a specific service or staff member.

  3. Step 3: Customers only see times that are really free

    Available times are worked out on the server from your hours, breaks, time off, buffers, minimum notice and existing appointments. Customers see the soonest times first, or a calendar or a list, always in their own time zone with its name shown.

The times are shown in Central Time (US). Beside it, what the server took into account: the Downtown opening hours, Maya's break and time off, a 10-minute clean-up after each visit, at least 2 hours' notice and up to 90 days ahead, and existing appointments and times being held.
  4. Step 4: The last slot goes to one customer

    When a customer books, the server checks that exact time again while the staff member and any room are locked, and rules in the database itself back that up. In our tests, 20 people booking the last slot at the same moment always end with exactly one booking. Everyone else is offered the nearest free times, with what they typed kept.

    Two customers choose 11:30 AM at the same moment. Sam R. gets the booking and it is confirmed. Alex P. sees That time was just taken, with the nearest free times, 12:15 and 1:15 PM, and the details already typed kept. A double tap from Sam creates no second booking.
  5. Step 5: Confirmations and reminders go out on their own

    Customers get a confirmation email with the details, a calendar invite and a secure link to manage the appointment. Reminders follow, by default a day and two hours before, each with links to confirm, reschedule or cancel.

  6. Step 6: Customers reschedule or cancel on their own

    The link in every email opens that appointment, with no account or password, and the page works even without JavaScript. Customers can reschedule or cancel within the policy you set (by default up to 24 hours before), add it to their calendar, or confirm they will be there. Once an appointment changes, the old links stop working.

  7. Step 7: Your team works from one calendar

    See the day with a column per staff member, or the week and month. Drag an appointment to move it and the server checks the new time before it is saved. Block time off, check customers in, mark appointments completed or no-show, and record payments taken at the appointment.

  8. Step 8: Every appointment joins your contacts

    Customers become contacts shared with Live Chat, Forms and Reviews, with every appointment in their history. Ask for a review automatically once an appointment is completed, and follow bookings, cancellations, no-shows and your busiest days and hours.

How do you prevent double bookings?

Times are always checked on the server, never only in the browser. When someone books, the exact time is checked again in one database transaction while the staff member and any room or equipment are locked, and the database has its own safeguard against a clash. A double tap or a retry never creates a second appointment.

What about time zones and daylight saving time?

Every appointment is stored as an exact moment together with the time zone it takes place in. Customers see times in their own zone, always named, with yours one tap away, and emails name the zone too. Available times, minimum notice and how far ahead people can book are tested across the spring and fall clock changes in New York, Chicago, Denver, Los Angeles and UTC, and reminders are timed from the real start.

Can customers reschedule or cancel online?

Yes, from the link in their emails, within the policy you set: whether it is allowed, how close to the start (24 hours by default) and how many times an appointment can be moved. Your team can always change or cancel an appointment from the dashboard.

Can I approve bookings before they are confirmed?

Yes. Set a service to need approval: the time is held while it waits, so nobody else can take it. A service can also take requests instead, where customers suggest up to three times and your team picks one.

Can I ask customers questions before the appointment?

Yes. Add a few questions to a service, or attach a Forms form as its intake form. The answers stay with the appointment.

Can customers book from Live Chat?

Yes. Your team can send a booking link from the inbox, and the Live Chat AI can offer one when a visitor wants to book. It only mentions times that are actually free. The booking opens next to the chat and appears in the conversation once it is made.

Can customers pay online?

Not yet. Services can show their price with a note such as “Pay at your appointment”, and your team records payments and refunds against each appointment, so you always know what has been paid.

What is not available yet?

Online payments, Google and Microsoft calendar sync, text message reminders, group classes and waitlists. Confirmations and reminders go by email, and customers can add every appointment to Google Calendar, Outlook or Apple Calendar.

Does it work on WordPress?

Yes. The PlugMatrix WordPress plugin adds Booking Form, Booking Button, Service Selector and Staff Selector blocks, with a matching shortcode. The booking script loads only on pages that show one. On any other website, paste the booking snippet or link to your booking page.
